Press Release Template: Headline, Lead, Quote, with Example

A press release gives journalists a story they can run as it is: the news in the first paragraph (who, what, when, where, why), why it matters with a figure, a quote from a named person, background, a company boilerplate and a media contact. Importance runs top to bottom, so it can be cut from the end.

Get these right before you write

  1. 1The headline is the news, not a slogan.
  2. 2The first paragraph stands alone; many readers stop there.
  3. 3One quote from a real, named person saying something only they could say.
  4. 4Dateline, boilerplate and contact details every time; omissions cost coverage.

Structure

The document opens with these headings and blanks.

[Headline]
[City], [date] โ€” [The news: who, what, when, where, why.]
[Why it matters, with a figure.]
"[Quote]," said [name], [title].
##Background
[...]
##About [company]

Media contact: [name, email, phone]

A complete example

Written by the AI from this brief, exactly as the workbench would write yours:

A press release from Wisaven, Shanghai, 8 October 2026: the AI creation platform launches a document workbench that reads PDFs, spreadsheets, images, recordings and video as sources and cites them in the draft; in a beta with 300 users, first drafts took a median of 4 minutes; quote from the product lead; background on the platform's use cases; boilerplate; media contact.

Wisaven Launches Document Workbench That Turns PDFs, Spreadsheets, Images and Recordings into Cited First Drafts

SHANGHAI, 8 October 2026 โ€” Wisaven, the AI creation platform, today launched Document Workbench, a new workspace that reads a user's own files โ€” PDFs, spreadsheets, images, audio recordings and video โ€” as sources and cites them directly in the draft it writes. In a closed beta with 300 users, a first draft took a median of 4 minutes from upload to a complete, cited document. Document Workbench is available to all Wisaven subscribers from today.

The news

Document Workbench addresses a gap that teams run into every day: the material for a report, brief or proposal is spread across formats that a writing tool cannot open, let alone quote. With Document Workbench, a user drops the source files into a project, describes the document they need, and receives a Markdown draft in which every figure, name and quotation is tagged to the file it came from.

Key capabilities:

  • Reads five source types. PDFs and spreadsheets are parsed for text and tables; images are read for text and described; recordings and video are transcribed with timestamps.
  • Cites as it writes. Each fact in the draft carries a source tag that links back to the page, cell, frame or timestamp it was taken from.
  • Flags gaps instead of filling them. Where the sources are silent on a point the brief requires, the draft shows a marked placeholder rather than an invented detail.
  • Beta results. Across 300 beta users and roughly 2,100 documents, the median time from upload to first draft was 4 minutes; 83% of users reported that the citations made review faster.

Quote

"Most of the time spent on a first draft isn't writing โ€” it's hunting through the folder for the number you know is in there somewhere," said Ren Okafor, Product Lead for Document Workbench at Wisaven. "The workbench does the hunting, writes the draft, and shows its work. If a source doesn't say it, the draft doesn't claim it. Beta users told us that a draft they can check in minutes is worth more than a polished one they can't trust."

Background

Wisaven's platform is used to produce documents that start from existing material: internal reports and board memos, client proposals, research summaries, meeting write-ups, grant applications and press materials. Until now, users supplied that material as pasted text. Document Workbench extends the platform to the formats in which source material actually lives, so that a quarterly report can be drafted from the finance spreadsheet, the all-hands recording and last quarter's PDF without any manual transcription.

The beta ran from June to September 2026 with 300 users drawn from consultancies, research teams, non-profits and in-house communications departments in China, Singapore and the United Kingdom.

Availability and pricing

Document Workbench is included in Wisaven's Team and Enterprise plans at no additional cost and is available to Individual plan users as an add-on at ยฅ68 per month. Supported source types at launch are PDF, XLSX, CSV, PNG, JPEG, MP3, WAV and MP4.

How it works

  1. 1Open the template: a document with the skeleton and the brief appears.
  2. 2Add one line about your case to the brief, or attach your notes as sources, and press First draft.
  3. 3Edit directly, or ask the AI to tighten, expand or translate any passage; every AI change is reviewed before it lands.

Questions

Can I use the example as it is?
The example shows the shape and tone; its names and figures are made up. Open the template and give the AI your own facts, and it writes yours in the same shape.
Does it work in English and Chinese?
Yes. The document is written in the language of your brief, and any passage can be translated afterwards.
Is it free?
Writing is billed by the tokens used, usually a few credits per draft; the template, the skeleton and the editor cost nothing.
