Resignation Letter Template: Short, Courteous, with an Example

A resignation letter does three things: states that you are leaving and when, thanks the people you worked with, and commits to a handover. It is kept on file, so it is short, courteous and free of grievances, whatever the reasons.

Get these right before you write

  1. 1The last working day follows your notice period; count it before you write.
  2. 2Reasons are optional; if you give one, keep it to a neutral sentence.
  3. 3Thank specific people or specific things learned; generic thanks reads as none.
  4. 4Name what you will hand over and offer to help after you leave, within reason.

Structure

The document opens with these headings and blanks.

I am writing to resign from my position as [role], effective [last day], in line with my notice period.
[One or two sentences of thanks.]

A complete example

Written by the AI from this brief, exactly as the workbench would write yours:

Li Lei, a customer-support shift lead, resigns to his manager with a 30-day notice period, last working day 7 November 2026; he thanks the team for three years and the chance to lead a shift; he will hand over the shift roster, the escalation contacts and the training of the new agent to Wang Fang.

Resignation Letter

[Date]

Dear [Manager's name],

Notice of resignation

I am writing to let you know that I am resigning from my position as Customer Support Shift Lead at [company name]. In line with my 30-day notice period, my last working day will be Friday, 7 November 2026.

Thank you

Thank you for the past three years. I am grateful for the trust you placed in me and for the chance to lead a shift. Working with this team has been the best part of the job, and I have learned a great deal from you and from the agents I have had the privilege to support.

Handover

I want to make the transition as smooth as possible. Before 7 November I will hand over the following to Wang Fang:

  • The shift roster, including current assignments and planned cover
  • The escalation contacts and the process for using them
  • The training of the new agent, with notes on progress so far and what remains

I am happy to document anything else you feel is needed and to be available for questions during the notice period.

Thank you again for everything. I wish you and the team continued success.

Kind regards,

Li Lei Customer Support Shift Lead

How it works

  1. 1Open the template: a document with the skeleton and the brief appears.
  2. 2Add one line about your case to the brief, or attach your notes as sources, and press First draft.
  3. 3Edit directly, or ask the AI to tighten, expand or translate any passage; every AI change is reviewed before it lands.

Questions

Can I use the example as it is?
The example shows the shape and tone; its names and figures are made up. Open the template and give the AI your own facts, and it writes yours in the same shape.
Does it work in English and Chinese?
Yes. The document is written in the language of your brief, and any passage can be translated afterwards.
Is it free?
Writing is billed by the tokens used, usually a few credits per draft; the template, the skeleton and the editor cost nothing.
